How to choose a photocopier

Seven questions decide which photocopier suits your office. Answer them here, or let the copier finder do it in five taps.

  • Seven questions
  • A3 or A4
  • Speed and volume
  • New or used

A3 or A4?

If anyone prints A3, or you need several paper drawers, choose an A3 copier. If nobody does and fewer than about ten people print, A4 is usually enough. More on A4.

Volume decides the machine, and most of what it costs to run.

How fast?

Speed is pages a minute. As a rough guide: up to 5 people, 20 to 25; 5 to 15 people, 25 to 35; 15 to 30 people, 35 to 45; more than that, faster again or a second machine.

How many pages a month?

Look at your last few toner orders or ask your current supplier for your meter readings. Volume decides the machine's size and, more than anything, your running cost. What a copier really costs.

Colour or black and white?

Colour pages cost more to run. If you rarely print colour, a mono machine saves money. If you do, choose colour and set the default to black and white.

Finishing

Stapling, hole punching or booklets? A finisher does it as the pages come out. Worth it if you produce reports or handouts often.

Scanning and security

Most offices scan as much as they print now. Look for double sided scanning in one pass, scan to email and folders, and PIN or card release so private documents are not left in the tray.

New, renewed, refurbished or used?

New for heavy use and the longest life. Renewed for close to new at less. Refurbished for the best value in most offices. Used for the lowest outlay. See the range.

    Questions

    Questions about choosing a photocopier

What is the best photocopier for a small business?

One sized to your volume, cheap per page, and serviced locally. For most small offices that is a refurbished A3 colour machine at 25 to 35 pages a minute, or an A4 multifunction printer if nobody prints A3.

    Should I choose A3 or A4?

A3 if anyone prints A3 or you want several drawers. A4 if not and the team is small.

    How do I compare photocopiers?

On the same basis for each: speed, paper size, colour, the cost per page for black and white and for colour, what that cost includes, and who services it. Copier brands compared sets the makers side by side.
